Emails
Emails sent to the email addresses of ITI German Network committee members (coordinator, membership secretary, treasurer) or moderators will be forwarded to the personal/business email account of the respective office holder and stored in electronic form until they have been processed or for no more than one year (unless we have another lawful basis to store them, e.g. legal obligation or consent). Emails will not be shared with any third parties. You have the right to contact the respective committee member/moderator by email at any time to request a copy of information held on you or ask them to delete any stored emails received from you. (Lawful basis for processing: legitimate interest)

If you apply for membership/Friend of GerNet status, the details (name, contact details, professional status) you submit via our online form will be sent to ITI German Network’s membership secretary. This information will be stored and processed by the membership secretary for the purposes of approving or rejecting your application. The membership secretary will contact you by email to confirm receipt of your application. They may also contact you by email and/or phone (if you have provided a phone number) if further information/action is required to approve your application. Your contact details will not be used for any other purpose at this stage. If your application is rejected, the membership secretary will delete all data stored about you. If the application is approved, the membership secretary will enter your details into an annually updated membership directory for the duration of your membership (or status as Friend) of ITI German Network or until you provide updated details to the membership secretary. The membership secretary will share the membership directory with ITI German Network’s coordinator and e-group moderators. The membership secretary, coordinator and moderators will store the directory securely in electronic form and not share it with third parties. They will use your email address to contact you with notices relating to the network: notifications of elections and events, renewal reminders, invitations to the e-group(s). If you terminate your membership/Friend of GerNet status prior to the end of the membership year, the membership secretary will delete your details from the membership directory and instruct the others who hold copies of the directory to do the same. If you choose not to renew your membership/Friend of GerNet status at the end of the membership year, your details will be deleted when the membership directory is updated for the next membership year. You can request a copy of information held on you at any time by emailing membership@itigermannetwork.org.uk (Lawful basis for processing: formation of contract/legitimate interest)
E-group(s)
New Friends and Members of ITI German Network will be invited to join the network’s e-group(s). Please note that ITI German Network does not accept any responsibility for information or content that users submit to the e-group(s). Emails sent to the e-group(s) will be shared with all other e-group users and stored online in accordance with the e-group provider’s terms of service. Please also be aware that information you include in your e-group user profile may be visible to some or all e-group users (especially users with "Moderator" status (coordinator and e-group moderators)).
You have a right to complain to the ICO if you believe there is a problem with the way your data is being handled.
